We use your information to provide, operate, and maintain Freshice; create and process review sessions; convert recordings and voice input into transcripts, comments, annotations, and structured feedback; store and display review projects, files, and shared outputs; enable collaboration and sharing; provide customer support; troubleshoot bugs and technical issues; improve product quality, usability, and performance; develop new features; monitor abuse, fraud, and security risks; communicate product updates and service notices; manage accounts, billing, and subscriptions; and comply with legal obligations.

Freshice may allow authorised team members, contractors, or service providers to access your recordings, uploaded files, transcripts, screenshots, comments, review sessions, and related content when reasonably necessary to provide customer support, investigate bugs or processing errors, debug recording or transcription quality, improve the Freshice product experience, maintain security and prevent misuse, or comply with legal obligations.

We do not access user content casually. Access is limited to people who need it for the purposes described above. Where possible, we use aggregated, anonymised, or de-identified information for product improvement.

Freshice may use automated systems, including AI models, to transcribe voice recordings, summarise spoken feedback, convert raw voice input into clearer comments, identify screen context, suggest or place annotation pins, group or structure feedback, and improve review quality and product workflows.

We may use review content, usage data, transcripts, recordings, and related metadata to improve Freshice, including the quality of our AI-assisted features. Freshice does not sell your review content.

When you share a review, project, file, recording, transcript, or comment with another person, they may be able to view, access, download, comment on, or further share that content depending on the permissions available in Freshice. You are responsible for choosing who you share review content with.

We may share information with trusted third-party service providers who help us operate Freshice, including providers for cloud hosting, file storage, audio and video processing, transcription, AI processing, analytics, error tracking, customer support, authentication, payment processing, email delivery, and security monitoring. These providers may process information only as needed to provide services to Freshice.

We may disclose information if we believe it is reasonably necessary to comply with applicable law or government request, enforce our terms or policies, protect the rights, property, or safety of Freshice or our users, detect or prevent fraud or security issues, or respond to claims that content violates the rights of others.

We retain information for as long as needed to provide Freshice, comply with legal obligations, resolve disputes, enforce agreements, maintain security, and improve the service. Review recordings, uploaded files, transcripts, screenshots, and comments may be retained until deleted by the user, removed by an authorised workspace admin, or deleted according to Freshice's retention settings.

We use reasonable technical and organisational measures to protect your information against unauthorised access, loss, misuse, alteration, or disclosure. However, no online service is completely secure. You should avoid recording, uploading, or sharing sensitive, confidential, or regulated information unless you have the right to do so and are comfortable using Freshice for that purpose.

You are responsible for ensuring you have permission to record, upload, or share any content through Freshice; informing people where required before recording their voice, screen, or work; avoiding the upload or recording of sensitive personal data unless necessary and authorised; managing access permissions for people you invite; and keeping your login credentials secure.

We may use cookies, local storage, SDKs, and similar technologies to keep you signed in, remember preferences, understand product usage, improve performance, analyse traffic, detect errors and abuse, and support marketing and communication. You can control cookies through your browser settings. Some features may not work properly if cookies are disabled.

Freshice and its service providers may process and store information in countries other than where you are located. These countries may have data protection laws that differ from those in your jurisdiction. Where required, we use appropriate safeguards for international transfers of personal data.

Depending on where you live, you may have rights to access personal data we hold about you, correct inaccurate information, delete certain information, object to or restrict certain processing, withdraw consent, request a copy of your data, opt out of certain marketing communications, or lodge a complaint with a data protection authority.

Freshice is not intended for children. We do not knowingly collect personal information from children under the age required by applicable law. If you believe a child has provided us personal information, contact us and we will take appropriate steps to delete it.

We may update this Privacy Policy from time to time. If we make material changes, we may notify you by email, in-product notice, or by updating the date at the top of this policy. Your continued use of Freshice after the updated policy becomes effective means you accept the revised policy.
